After consultation with Premium
Timber we realised that the 
AR-M450 needed to be 
re-configured so that it was able to
scan the documents even though
they were not the standard paper
size usually used. Once this was
done, each sheet was fed through
smoothly, with no further errors.
We also researched with Fusion the
possibility of developing some way
of scanning and recognising the
bar code on the POD. If Premium
Timber were able to input the bar
codes from all the PODs at speed,
rather than manually, they could
then access far more data from
each transaction.
In the past all archiving was
done manually, however
SharpFind will archive all
documents automatically,
which saves time. It also acts
as a failsafe. If we search for
a particular order or bar code
and fail to find a record, we
know that it can’t have been
scanned, since human error
can be excluded. This wasn’t
the case when everything was
loaded and archived manually.
Wendy Rogers commented, 
After trials, Sharp and Fusion added a Kofax board to the
codes when scanning. Each delivery note has a bar code
number, which is unique. When the third party agency was
responsible for logging each POD only one field was indexed,
limiting the variety of searches which could be undertaken.
This meant that it was difficult to retrieve information on
individual deliveries, as searches could only be undertaken by
store or by month. Adding the Kofax board to SharpFind
allowed Premium Timber to read the bar
code on each delivery note,
giving details of the
specific delivery to
which it relates. The
bar code refers to a
specific order, from
picking the relevant
products from the
warehouse, to delivery,
to invoicing and billing. The
ability to scan the delivery note,
together with the corresponding bar code ensured that
Premium Timber could track each order from receipt to the
delivery of products, allowing the company to prove whether
the goods had been received by the client.
Other benefits also became apparent. 
SharpFind System Product
The answer was to take the process in-house. If Premium
Timber could find a cost-effective, efficient method of
uploading the information, they could potentially reduce the
an indexed archive, which was easy to use as a reference.
As a result, Premium Timber contacted Fusion Business
Systems Ltd, an office equipment reseller with expertise in
IT Product Specialist, Damian Pothecary, recommended the
Sharp AR-M450, a modular 45 pages per minute
multifunctional product, offering networked printing and
archiving package.
Explaining, Damian Pothecary added, “The AR-M450 has a
rapid scanning function which compliments any archiving
indexed for easy access.”
The standard SharpFind package offers document storage and
up to one million images, ample space to meet the needs of
Premium Timber. 
Once the initial installation of the AR-M450 and SharpFind
was completed, a few additional changes were needed to
the Proof of Delivery sheets when we tried to scan them
because they weren’t a standard A4 size,” continued Damian
Pothecary, “The sheets were printed on tractor fed paper,
which the copier printer was unable to handle at first. It
didn’t help that the sheets are also usually in a poor condition
when they are received back at the warehouse, which could
have caused further problems. When a
delivery is made, the POD is signed by
the client to acknowledge receipt of
the goods. The sheet is then retained,
usually within the driver’s cab, while
further deliveries are made. PODs can
easily end up torn, folded, stapled or with
parts missing.”
He continued, “Effectively we needed to create a bespoke
product, since there are no copier printers with a scanning
function, available on the market currently which would
automatically be able to cope in this situation. We worked
with Sharp in order to adapt the products in order to find a
solution.”

between 1200–1300 PODs
per week,” she continued.
“Information on deliveries is
now accessible within days
rather than weeks, which
means we can clear up any
delivery queries we receive
almost immediately, reducing
the number of claims made
where clients mistakenly
believe that a product has not
been delivered.
